Company Name: Calgary Housing Corporation:
Industry: Property Management, New Home Construction & Renovations.
Client Needs: Calgary Housing Corporation is a large semi public housing company which constructs, repairs and manages both privately held properties as well as some City owned properties. Their large inventory made repairs and construction a huge endeavor for which they had set up a list of approved vendors which could then bid on any available project. Their existing paper bid system was outdated and caused unnecessary delays as any given job bid would pass through up to 7 different hands for review.
Overview of Project:
We created a customized online software system which enabled CHC to not only fully automate their bid management system, but also develop a reporting feature which would track any user’s actions in the system. This additional reporting would help them prevent favoritism, and ensure each bid was handled with integrity. Three levels of internal access were developed so each department could simultaneously access the information they needed to while maintaining the confidentiality of any non-essential information.
Overview of User side Functionality:
Accepted contractors are assigned a username and password to access the Bid Management system. Through this portal they can view all projects available for them to bid on, their current bids, and edit or withdraw their bids.
Contractors can also submit an application for them to become an approved contractor.
Overview of Administrative Functionality:
Three different levels of accessibility were built for this custom software system. The main administrator had the ability to add and delete each internal user at his or her discretion, approve or disapprove of contractors, add jobs to be bidded on, view closed bids and view user session reports.
The Finance and Asset Management Department each have separate administrative profiles with restricted access to information.
Conclusion:
This customized software program streamlined the entire bid management process, improving efficiency by an estimated 25% as well as providing accurate data for future analysis.
